What is Flumin?

Flumin is practice software for independent practitioners. Therapists, mediators, accountants, lawyers, consultants, and coaches use it to run client work in one place.You work from Command Center: book meetings, move a case forward, write notes, message the client, and take payment. Each matter is a case, made of the steps you choose, such as a case form, a meeting, a payment, or a document.Your clients use a private portal on your site. They do not install an app, and they do not see Command Center.

Flumin is built for independent practices whose work follows a clear process. That includes therapists, mediators, accountants, lawyers, consultants, and coaches, working alone or in a firm.It is a good fit when each client matter moves through forms, meetings, payments, and documents. It is not a general-purpose website builder or a substitute for your own professional judgement.

Do I need technical skills to use Flumin?

No. You create an account, name the practice, and follow the setup checklist: organisation details, your profile, and when you are available.Services, case forms, and your public pages are edited in the app. You do not write code. A custom domain, if your plan includes one, needs a DNS change at your domain host. We show the records to add.Connecting a payment provider is optional. You can also record a bank transfer or an offline payment. Flumin does not hold client money and takes no fee.

Can several consultants use Flumin?

Yes. An organisation plan includes seats for colleagues. Each person is either an admin or a consultant.Admins manage services, billing, the website, terms, and the whole practice. Consultants work on the cases assigned to them, their own availability, and their profile. How many seats are included, and the price of an extra seat, are on the pricing page.

Can I connect my calendar and video tools?

Booking works inside Flumin even before you connect anything. You set your hours, and clients book a free slot. The meeting stays on the case.Where a tool is switched on for Flumin, you can connect Google Calendar or Microsoft Calendar so busy times stay in sync. A video link can be added with Google Meet, Microsoft Teams, or Zoom, again only where that tool is available. Google sign-in is separate from Google Calendar.

How do I sign in?

Enter your email and we send you a sign-in link. If Google sign-in is shown on the page, you can use that instead.Staff can also turn on an authenticator app from Account. An organisation can require that extra step for staff. Clients sign in the same way, with a link to their email, on the practice's own site.

Is signup open, or is there a waitlist?

If the homepage says Launching soon, new practice accounts are not open yet. Join the waitlist and we will email you when you can create one.If someone has already invited you, as a colleague or as a client, you can still accept that invite and join. People who already have an account can still sign in.

Which languages and devices does Flumin support?

Accepted Answer

Flumin is in English.Use a current version of Chrome, Safari, Firefox, or Edge, on a computer or a phone. The marketing site can be installed like an app from the browser. Your client portal is the practice's website in the browser. There is no separate app to download from an app store.

How does a case work?

Accepted Answer

A case is one client matter. The service you sell is a plan of steps. The steps you can use are a case form, a meeting, a payment, a document request, and a repeat when the same step should happen more than once.You only add the steps that matter. A form is optional. A document step is only there when you actually need files collected at that point.A case is Active, On hold, Completed, or Cancelled. Completing the last step does not close the case by itself. Someone on the practice marks it complete.

What is Command Center?

Command Center is the chat where you run the practice. Ask what needs attention, book a meeting, update your hours, move a case on, draft a note, or message a client.You stay in charge. It acts on clear requests and asks first when something is unclear or can't be undone. Check what it wrote, especially anything a client will see. It does not give clinical, legal, or financial advice.Clients do not have Command Center. It is for you and your colleagues. Admins can also use it for services, the website, and the team. Consultants use it for their own cases, schedule, and profile.

What is a case form?

A case form is a questionnaire on a case. You build it in the forms library and attach it to a form step when a service needs answers or files from the client.Questions can be shown or hidden based on an earlier answer. The client fills it in from their portal, and the answers stay on the case for you to read.Not every service needs a form. Leave it out when you do not need one.

How does a client start a case?

A client signs up on your site, or you invite them. From their dashboard they choose a service and Flumin opens a case. They then follow the steps you set: form, payment, meeting, or documents, in the order you designed.An admin can also open a case for them. The case starts straight away. There is no extra stage to approve before it exists.Public signup stays off until the practice has a support email and published terms and a privacy policy. A payment provider is not required to go live.

What do clients see in the portal?

Clients see their dashboard, the cases they have with you, and the next step on each case. They can fill in a form, pay, book a meeting, download documents you have shared, and message you from Inbox.They do not see other clients, your notes unless you share a note, billing for your Flumin subscription, or Command Center.If your plan includes it, you can remove Flumin branding so the portal looks like your practice. That option is listed on the pricing page.

How does booking work?

You set the hours you can be booked, on Availability. A meeting step on the service says how long the meeting is and how it runs. Clients pick a free slot from the portal, or you book it for them from the case.How far ahead clients can book is set on each service, so the calendar does not fill up months in advance. Busy time on a connected calendar can block a slot.The booking lives on the case, with the video link when you use one.

Can a client change a meeting themselves?

A client can cancel a meeting from their case, then book a new time when they are ready. There is not a separate reschedule button.You can also move or cancel the meeting from the case. If you have limited the client's access, they can see what is booked but cannot change it themselves.

How do client payments work?

Clients pay you directly. Use a payment link, bank transfer, an offline record, or your own payment provider. Flumin never holds client money and takes no percentage of what they pay you.You decide what you charge. The price a client pays is the price on the payment step.This is separate from Billing. Billing is what you pay Flumin for the software, processed by Paddle.

When does a client pay?

A client pays when they reach a payment step on the case, in the portal. You choose where that step sits. It can be before a meeting, after a form, or wherever the work needs it.You can also request a one-off payment on a case that is already open. Payment is not tied to a separate approval stage before the case exists.

How do refunds to clients work?

Accepted Answer

You decide your own refund policy with your clients. When you want to return a case payment, you or a colleague open that payment and refund it. The money goes back by the same method the client used. Flumin does not keep a percentage of the payment.That is separate from your Flumin subscription. Subscription charges are processed by Paddle and are covered under Plans and billing.

What is the difference between Billing and client payments?

Billing is what you pay Flumin for the software: your plan, invoices, and AI credits. Admins find it under Billing. Those charges are processed by Paddle.Payments are what your clients pay you. Record them on the case, or connect your own payment provider later. Flumin takes no fee on those payments.

Who owns client data?

Accepted Answer

You do. Case notes, documents, messages, form answers, and client records that you put into Flumin stay yours. We host and process them so the product can run, as described in our terms and privacy policy.Where those records are personal data about your clients, you are the controller and Flumin is the processor. You are responsible for your own client terms and for having a reason to hold the data.

Do you use my data to train AI?

No. Flumin does not train AI models on your data.When you use Command Center, or AI help while drafting a note or your terms, the text for that request is sent to OpenAI through Vercel's AI Gateway to write the reply. Read what it wrote before you rely on it or share it with a client. AI output can be wrong, and it is not professional advice.

Who else processes data for Flumin?

A short list of providers runs the product with us:Supabase stores the database, sign-in, and files.Vercel hosts the site and the app, and routes AI requests through its AI gateway.OpenAI writes the AI drafts you ask for, through that gateway.Paddle is merchant of record for Flumin plan charges.Resend sends email from @flumin.co.Your own payment provider, only if you connect one, collects what clients pay you. Flumin does not hold that money.Google, Microsoft, or Zoom only if you connect that calendar or video tool. Google sign-in, if you use it, is also Google.How we handle personal data is in the privacy policy and the terms.

Do you use cookies or analytics?

Sign-in needs strictly necessary cookies. We remember your cookie choice in the browser.Analytics, including Vercel Analytics, loads only if you accept it in the cookie banner. If a Google tag is configured, that stays behind the same choice. You can reject analytics and still use the site. Details are in the cookie policy.

Question 30

Why do emails come from @flumin.co?

Accepted Answer

Flumin sends mail from addresses on @flumin.co, such as noreply@flumin.co for sign-in links and billing@flumin.co for receipts. That keeps delivery on one domain we control.Messages about a practice can show the practice name as the sender, and replies can go to the practice's own address. The From domain stays @flumin.co. Questions about your Flumin account can come to hello@flumin.co or support@flumin.co.

Question 31

Can I export or delete my data?

There is no button that exports the whole account or deletes it. Email support@flumin.co if you want a copy, or if you want the account closed.Our terms say we will give you a reasonable opportunity to export customer data when an account is closed, where that is technically possible and the law allows it.Inside a case you can download a document that is already on the file. That is not a full account export. Clients who want their records changed or deleted should ask the practice, which controls those records.

Is two-factor authentication available?

Yes, for staff. From Account, set up an authenticator app. The next sign-in then asks for the code after the email link or Google sign-in.An organisation admin can require that extra step for every staff account. It is not required for clients, and the client account page does not show the authenticator setup.
